Software renewal checklist
Use this checklist before a software subscription renews automatically. It helps a small team find the real deadline, gather the right facts, and make a clear renew, reduce, replace, or cancel decision.
Complete these in order
Seven checks before you renew
- 01
Find the notice deadline
Read the cancellation and renewal terms. Record the last date you can cancel, reduce licenses, or change the agreement—not only the renewal date.
- 02
Name one decision owner
Choose the person responsible for gathering the facts and making sure a decision happens before the deadline.
- 03
Confirm actual usage
List active users, inactive users, important workflows, and anything that would break if the software disappeared.
- 04
Check for overlap
Look for another tool you already pay for that performs the same essential work.
- 05
Compare the four choices
Write down the case for renewing, reducing, replacing, or cancelling. Include switching effort and risk, not just price.
- 06
Contact the vendor early
Ask for the options you want while you still have time to change course. Keep the response with your renewal notes.
- 07
Record the final decision
Document what you chose, why you chose it, who approved it, and the next renewal or cancellation deadline.
